Start from the school gym shelter model (free sign-up; running a simulation is Pro). In the first hours after a shelter opens, many households come at once and write evacuee cards at the reception. In this article, in the members’ school gym shelter, your AI simulates the reception in those first hours. It ran the same tools an AI calls over MCP. Every figure and number below comes from that run.
1. The reception and the first hours
- In one change (
edit_space), the AI put three reception desks and their staff’s chairs in a row across the entrance hall, facing the entrance.check_spacefinds nothing, before and after. - The entrance hall is 31.08 m²: the households wait there for a free desk.
The AI wrote this flow as a scenario (put_process_scenario).
- In the hour and a half after the shelter opens, 60 households come at random: 45 % in the first half hour, 35 % in the second, 20 % in the third.
- Writing the evacuee card at the desk takes 2 to 8 minutes (most often 3); a household handed the card at the entrance, which wrote it while queuing, is done in 1 to 3 minutes (most often 1.5).
- Done, a household goes to its place in the arena.
- Every number and time is an assumption. Put in your own shelter’s plans.
2. The desks and the households
The AI changed the desks open (1, 2, 3) and the households who come (40, 60, 80) (sweep_process_parameters), 20 runs each. The cards are written at the desk.
| Households | Desks | Wait (mean) | Longest wait | Waiting at once (most) | Last into the arena |
|---|---|---|---|---|---|
| 40 | 1 | 46.9 min | 85.6 min | 19.7 | after 172.6 min |
| 40 | 2 | 7.5 min | 16.8 min | 8.2 | after 96.3 min |
| 40 | 3 | 1.2 min | 5.6 min | 4.2 | after 91.6 min |
| 60 | 1 | 90.2 min | 168.6 min | 39.1 | after 259.7 min |
| 60 | 2 | 26.1 min | 47.3 min | 22.3 | after 132.4 min |
| 60 | 3 | 6.9 min | 15.5 min | 11.5 | after 96.2 min |
| 80 | 1 | 134.2 min | 254.2 min | 58.5 | after 347.4 min |
| 80 | 2 | 47.8 min | 85.5 min | 40.0 | after 175.7 min |
| 80 | 3 | 19.7 min | 35.7 min | 24.9 | after 119.5 min |
- The longest wait is the mean over the 20 runs of each run’s longest.
- With 60 households and two desks, a household waits 26.1 minutes on average, and up to 22.3 households queue in the entrance hall. With three desks, 6.9 minutes.
3. Writing the evacuee card in the queue
With 60 households, the AI changed whether the card is handed at the entrance and written while queuing (by all, or by none) and the desks.
| Card | Desks | Wait (mean) | Longest wait | Waiting at once (most) |
|---|---|---|---|---|
| Written at the desk | 1 | 90.2 min | 168.6 min | 39.1 |
| Written at the desk | 2 | 26.1 min | 47.3 min | 22.3 |
| Written at the desk | 3 | 6.9 min | 15.5 min | 11.5 |
| Written in the queue | 1 | 18.4 min | 33.1 min | 18.2 |
| Written in the queue | 2 | 0.9 min | 4.5 min | 5.1 |
| Written in the queue | 3 | 0.1 min | 1.6 min | 2.9 |
- With the card written in the queue, two desks keep the wait to 0.9 minutes on average: shorter than three desks with the card written there (6.9 minutes).
- Before adding desks, handing the card out at the entrance cuts both the wait and the crowd in the entrance hall.
4. How to use this
- Draw your shelter (from a PDF of the drawings or photos too), and tell the AI the households you plan for, when they come and how long the reception takes. The AI puts the desks on the drawing and checks them.
- Not checked: the reception of those who need care, households with pets, health checks and temperatures, a queue outside in the rain, and the staff’s shifts.
